Binding & Preservation

Procedures for Items in Need of Repair

  1. Various library departments will deliver books in need of repair and place them on the preservation cart.
  2. Examine each item to determine what type of repair is necessary.
  3. Many items can be repaired in house with book tape, glue, and other preservation tools.
  4. All items entering the bindery should be checked out to either an inhouse, buckram, or digi account by the end of the day that it is received.  This will allow the item to be located if someone is in need of it at a later time.
  5. If an item will be repaired inhouse, log into WorkFlows and check out the item to the bindery inhouse account.
  6. If the item needs to be sent out for repair, decide if it will be sent digicover or buckram and check out the item to the appropriate account.
  7. Proceed with the usual procedure for sending items out to HF Group.

  1. There are times when an item will have missing or damages pages that cannot be repaired.
  2. When this occurs, it will be necessary to request a copy of the item or copies of the missing or damaged pages through Interlibrary Loan.
  3. Interlibrary loans may be requested by going to the NGL home page (library.shsu.edu).
  4. Under the Library on the right-hand side, scroll to Services for...and select Interlibrary Loan.
  5. Click "Place and Interlibrary Loan Request Now in ILLiad."
  6. Enter bindery username and Password.
  7. On the left-hand side under "New Request" choose the item type needed.
  8. Fill in as much information as possible on the form provided.
  9. It is also helpful to consult WorldCat to obtain the OCLC number for the requested item.
  10. To do this, go to the NGL home page and select the "Articles & More" tab.
  11. Click "All Databases A-Z" on the left.
  12. Click "W" at the top and select WorldCat (FirstSearch).
  13. Perform a search and find the item record that has Sam Houston State University highlighted.
  14. Click on the title.
  15. Scroll down and locate Accession No: OCLC.
  16. Include this number in the online Interlibrary Loan form.

Non-Repair Materials

  1. Items may be submitted to the bindery that are extremely damaged and are beyond repair.
  2. Sometimes items are too fragile to rebind or repair but they should be retained. In this case, a clamshell box can be ordered from HF Group within which the book can be stored. 
  3. Other times items have might mold or other odors that cannot be corrected.
  4. Such items must be removed from circulation and a determination must be made about their replacement.
  5. House the book in the bindery unless its condition warrants immediate discard.
  6. Discarded items should be torn apart and the barcode removed if possible.
  7. Create a Non-Repair report in WorkFlows.  This report will be given to the appropriate subject bibliographer so that a determination can be made about replacement.
  8. In WorkFlows, go to reports and schedule a new report.
  9. Enter the item's ID at the top, save, and click "run now" at the bottom.
  10. Click display finished reports and view result.
  11. Copy appropriate bibliographic information.
  12. Open a Non-Repair Form and paste relevant bibliographic information (see below).
  13.  Print report on pink paper (see below).
  14. Make a copy for bindery records and place it in a file.
  15. Forward the form to the appropriate subject bibliographer.
  16. Change the item's location in WorkFlows to Non-repair.
  17. After the subject bibliographer has reviewed the report, it will be returned to the bindery and indicate whether the item will be reordered.
  18. Date and initial the sheet and forward it to Suzanne Steed in cataloging for additional processing.
  19. Suzanne will delete the item record and send the pink sheet to acquisitions for purchase if the item will be replaced.
