Submitting Materials to ScholarlyWorks@SHSU

Who can submit content to the institutional repository? 

  • Sam Houston State University faculty and staff 

  • Any Sam Houston State University Department, School, Center, or Institute 

  • Sam Houston State University students, with authorization from an SHSU faculty member, such as their co-author or advisor. 

  • Other individuals affiliated with Sam Houston State University may qualify to contribute. For more information, contact the NGL Head of Digital Initiatives. 

 

The general guidelines for submissions are: 

  • The work must be contributed in digital format (e.g., PDF, Mp3).  

  • The content should be complete and no further updates will be required. 

  • The author/owner must have sufficient authority and be willing to grant the University Library the right to distribute and preserve it. 

  • Content may in some circumstances be closed access only and/or embargoed for a specific length of time. This will be discussed on a case-by-case basis and please contact us for more information.

  • Items will be retained and preserved by the University Library indefinitely.

 

Conditions Governing Use 

The materials included in ScholarlyWorks@SHSU have been made available to be used responsibly under Fair Use for research, teaching and private use only. For these purposes, you may reproduce (print, make photocopies, or download) these items without prior permission on the condition that you provide proper attribution of the source in all copies. Materials or their metadata must not be sold commercially in any format or medium without the permission of the copyright holders.

 

What is an appropriate submission? 

ScholarlyWorks@SHSU showcases and provides access to a variety of research and scholarly work. Materials with a short life cycle (such as most syllabi) are typically not added to the institutional repository. Appropriate content will be posted in the repository as long as: 

  • It is in (or can be converted to) a technically feasible file format, such as a PDF. 

  • It does not infringe upon anyone else’s copyright (NGL librarians can help authors with copyright compliance issues).

Examples of Submission Types 

  • Journal articles 

  • Conference presentations or posters 

  • Multimedia files (e.g., videos, podcasts) 

  • Graduate theses or dissertations 

  • Capstones or Directed Research Projects 

  • Reports 

  • Newsletters 

  • Conference proceedings 

 

How does the submission process work? 

Sam Houston State University faculty and staff are encouraged to share their research works in the Institutional Repository. If you are interested in depositing your work, please reach out to the Head of Digital Initiatives, your department subject librarian or other delegated agent. 

As part of the submission process, authors must agree to a non-exclusive distribution license for each item. You will retain your existing rights to your work, and may submit the work to publishers or other repositories without permission from Sam Houston State University. Withdrawing Items and Versioning 

Items are not usually removed from the repository unless there is proven copyright violation, plagiarism, legal requirements, national security, falsified research, or co-author objection. Items will be retained indefinitely, including the handles or URLs of withdrawn items, and changes to deposited items are not permitted.  

Changes in metadata are permitted as needed. Significant revisions to an existing work should be uploaded as new versions/editions, preserving both the original and the revised work.
