Monthly Library Statistics

Library Statistics are saved on the T drive -->  NGL-->  Library Statistics.

Categories assembled and saved are:

1. Access Services (circulation sends this report)

2. Reserves Statistics -- run reports on Workflows; see procedure.

3. BI statistics -- report is generated on LibApps; see procedure.

4. Information Services

5. Reference Desk Statistics  report for the month

6. The Woodlands Center reference desk statistics for the month.

The reference student worker records how many reference books they reshelve during the month and puts it in the library associates' mailbox on the first of the month.. 

The statistics are due by the 10th of the month if possible.

I have procedures for running the monthly reports for reserves statistics; text count; chat count; reference desk statistics for the month.

Tyler Manolovitz, The Woodlands Center librarian, emails his library statistics to me.

At the end of the month, email librarians to ask if they had any one-to-one interactions or ref consults for the month.

To Get Referece Desk Statistics

  1. Open LibApps
  2. Click on LibAnswers and LibChat from the Blue LibAnswers drop down box
  3. Click on Ref Analytics --> Statistics
  4. Click on the first Time Period box and enter the 1st day of the month you are working on.  Example: Jan. 1 2017. Then click on the second Time Period box and enter the last day of that month and year.  Example: Jan. 31 2017.
  5. Click "Clear Filter"
  6. Then click FILTER ⇒Export Transactions⇒Open
  7. An Excel spreadsheet will open. Click on the Circle, Smiley face.
  8. A Box will open and ask for the month and then the year.  The month you are working on will appear in the Spreadsheet.
  9. The phone calls for the month are at the bottom of this page.
  10. Copy and paste this to an Excel spreadsheet and then save it in the statistics folder of the month you are working on.

To Get Email Statistics

  1. Open Microsoft Outlook on the Virtual Reference Computer at Reference Desk.
  2. Go to the "Completed" folder and count the number of messages from the month.
  3. Go to the "Forwarded" folder and count the number of messages from the month.
  4. Add those two numbers together for the total number of Email Questions received during the month.

To Get Text Statistics

  1. In the orange menu bar click on Stats ⇒SMS
  2. The SMS Usage page will open. Look down to the middle of the page for the "Monthly Breakdown" table. Find the latest month, and record the number of "Incoming Questions" as the number of Text Questions received for the month.

To Get Chat Statistics

  1. In the Orange Menu bar go to LibChat⇒Statistics
  2. In the Filter Bar enter the First Day of the Month and then the Last Day of the month.
  3. Then Click Filter.
  4. The "Answered Chats" will be the number of chats for the month.

Infomation Services Statistcs

  1. Enter information you have prepared from the different reports you have run
  2. Reference desk statistics
  3. The Woodlands Center Reference Desk Statistics
  4. Library Instruction Sessions, Main Campus, The Woodlands Center and The Thomason Room
  5. Library tours
  6. One-to-one conference, Reference Consultations and In-House Circulation
  7. Virtual Reference Main Campus, Virtual Reference The Woodlands Center

Instruction Statistics

  1. Log in to LibApps
  2. From the main LibApps dashboard click LibCal.
  3. Click Calendars in the orange menu bar.
  4. Click Event Explorer NGL 155/157 & Outside instruction
  5. Enter the dates; First of the Month and Last of the Month
  6. For Category click the drop down box and select BI Instruction Sessions
  7. For location select All Locations
  8. Click Submit
  9. Record the BI information from this page into the BI sessions spreadsheet.
  10. To get the number of students in each class you will have to click Export Data
  11. A spreadsheet opens and record the Actual Attendance number for each BI

Library Tours

  1. Go back and use the same procedure as for BIs but select Tours instead of BI instruction sessions in Category.
