eBooks: Ordering

Ordering Ebooks

If a selector does not designate which platform or user-level, here are the eBooks aggregator platforms/user access levels in order of preference:

  1. EBSCO 1 user *
  2. EBL non-linear lending *
  3. Ebrary 1 user *
  4. ***Check if the publisher platform such as GVRL, Credo, Elsevier, etc (most are usually unlimited users) is available. 
    These are almost always less expensive than an aggregator unlimited-user option
  5. EBSCO 3 user
  6. EBL Unlimited
  7. EBSCO Unlimited
  8. Ebrary Unlimited

*If a multi-user (3, unlimited, etc.) option is available for up to 25% over the single-user price, the multi-user option can be chosen.

IN YBP

Build order cart and add to "Export Cart"

Enter Order Details-

  • Select correct sub-account
  • Add PO Number
  • Add fund code and holding code for each item as listed on the order card
  • Add selector's initials
  • Click "Save"
  • Click "Export Green Lights"

Go to ftp.ybp.com

User: samhouston

Password: +rluWr

  • Click on "export" link
  • Select correct record, right click and Save As to your desktop

In SIRSI

MARC order import --> upload file --> type your initials for the destination --> import --> (No other files to upload)

Now there will be (4) Reports to run

-Schedule new reports --> ok --> (1) Load bibs w/ order 9XX--> set up and schedule --> click load tab --> select file to load (your initials) --> run now

-Schedule new reports --> ok --> (2) Load Flat order records --> set up and schedule --> click order file selection tab --> select file to load (there should only be one option to choose) --> run now 

-Go to the Orders tab on the side toolbar --> (3) Display order specific cycle --> Find your FO# and make sure that everything uploaded correctly and the number of books in the cart from Baker matches the number here. Also, make sure nothing is in lowercase (that means it was a duplicate).

-Go back to schedule new reports --> (4) Book X12 Orders (make sure you choose the correct FY) --> in the orders selection tab update the date created to the current date --> run now

-Schedule new reports --> EDI File Transfer --> run now

When you are finished, you can view your order under the Display order specific cycle tab --> type FO- and scroll to the very bottom. Make sure that the date mailed day says the current date and not "NEVER"

E-book Archive Copy Downloading Instructions for Gale E-Books

Note: There’s typically a limited period of time that’s allowed for downloading archival e-books.

  1. Click on the download your archival copy link provided by Gale provided in the email. 
  2. Mentally note the ebook title or titles.
  3. Once you’re on the Gale site click the “Download Now” button.
  4. A popup-box should appear that provides options to open and save the compressed archive file. 
  5. Click Save on the pop-up box.
  6. Navigate to the folder at the following location on Eniac (Z) drive) \tech services\electronic resources\Providers\Gale\Ebook Archival Copies\.
  7. Create a sub-folder from the title of the book.  If you have multiple titles, use something like “Book Order – Multiple Titles – <list some of the titles here>”.  The idea is to have a couple key titles to help identify the order. 
  8. Save the archived compressed file with its original filename into the created subfolder.
  9. Once successfully downloaded, select the “Yes” radio button and click the “Submit” button.
  10. Once back to the main archival copy download page, save the confirmation web page into the same newly created subfolder.  Click File | Save As on the browser and select Web Archive, single file (*.mht) for file type.
