Interlibrary Loan (ILL) User's Guide

General Procedures

  • All requests will use ILLiad, the Newton Gresham Library’s Interlibrary Loan system.
  • Log into ILLiad using your SHSU username and password (same as email and MySam).
  • Be sure to update your User Information page with the preferred delivery location for your order: ILL office, home address, curbside pickup, Faculty>Direct, or campus box.
  • Use the links in the menu to start a new request for an article, book, book chapter, etc. If you need an item type not listed (for example, DVD), please use the book request.
  • Please allow 48 hours to 2 weeks to receive digital items, or 1-3 weeks for physical materials.
    • Normally, requests received from Newton Gresham Library patrons are processed within 24 hours of receipt (meaning, the request is review by ILL staff and sent out to other libraries within 1 business day of being placed).
    • The time it takes for an item to arrive depends on the lending library, so it is wise to plan ahead and allow sufficient time when considering an Interlibrary Loan request.
  • If you requested to pick up an item, Interlibrary Services staff will send you e-mail notification when a request has arrived. All patrons picking up items at the library are required to show University ID (Bearkat OneCard).

Step by Step "How-To's"

If you find an article cited in Engine Orange or another library database with a link to "Request through Interlibrary Loan," click that link for the fastest option! Article details will be automatically filled into the request form for you.

If you have a citation that you need to enter manually into a request form, follow these steps:

  1. Log into ILLiad with your SHSU username and password.
     
  2. In the Main Menu, under the "New Request" heading, select the appropriate type of item, such as Journal Article or Book Chapter.

  3. Fill in the article details for all fields marked with a red asterisk ( * ). Additional details will assist library staff in finding the requested material, but are not required.
     
  4. Edit the "Not Wanted After Date" to your desired date. This determines when your request would expire if it has not yet been fulfilled. If you want to access this information prior to a particular deadline, and it would no longer be useful after that deadline, it is useful for library staff to know that information. On the other hand, if you are not in a rush, setting that date farther in the future will let our staff know that they can continue to explore additional avenues for fulfilling a difficult request, even if that process may take longer.
     
  5. Please allow 48 hours to 2 weeks to receive digital items. Interlibrary Services staff will send you an e-mail notification when the item is ready to download.

  2. Review your account settings, if you have not done so recently, by clicking "Change User Information" in the Main Menu.

  3. Make sure that information, such as your address, is correct and that settings, such as pickup or delivery options, still reflect your preferences. Click "Submit Information" when you are done reviewing your profile.

  4. In the Main Menu, under the "New Request" heading, select the appropriate type of item, such as Book or Thesis/Dissertation. If you need an item type not listed (for example, DVD), please use the Book request.

  5. Fill in the item's details for all fields marked with a red asterisk ( * ). Additional details will assist library staff in finding the requested material, but are not required.

  7. Please allow 1-3 weeks to receive physical materials. If you requested to pick up an item, Interlibrary Services staff will send you an e-mail notification when a request has arrived. All patrons picking up items at the library are required to show University ID (Bearkat OneCard).
  1. Log into ILLiad with your SHSU username and password.
     
  2. In the Main Menu, click "Electronically Received Articles."

  3. Your available document(s) will be listed on the screen. Click on "View" for the document you wish to download.

  4. Your PDF document will open for you to read. You may print or save/download that file as you wish. Note that the document will only be available in ILLiad for 30 days, so be sure to download your own copy if you wish to have access for more than 30 days.

The ILLiad system uses your standard SHSU username and password (same as MySam, Blackboard, and email), so you do not need to create an account.

However, when you log into the system for the first time, you will be prompted to complete your profile information. This is important to ensure that library personnel know how to contact you and how to provide your materials to you.

Be sure to complete all fields marked with a red asterisk ( * ) and also to verify your preferred pickup or delivery options. If you wish to receive items by mail instead of picking them up at the library, it is essential to enter your address correctly.   

You can edit your profile information again at any time by logging into ILLiad and clicking "Change User Information" in the Main Menu. If you wish to receive items by mail, please ensure that your Primary Address is updated to the appropriate mailing address and the Delivery Location is set to Home address. 

 

An account-holder may add up to 5 authorized users to their account, for example, a family member or a graduate student assistant.

  1. Log into your ILLiad account.
  2. Click on "Change User Information" under the red "Tools" header.
  3. Scroll down to the box titled "Authorized User."
  4. In the box, please enter each person's first and last name (up to 5 people), and then click "Submit Information."
  5. Update this information whenever you wish.
